These instructions assume that you have searched ALICE and found some results that you wish to import into RefWorks.

If you want to use the one-step direct export from ALICE to RefWorks, you can only do this one record at a time. When you see a full record for an item in ALICE that looks like this:

...just click on the "Send to RefWorks" button on the right. RefWorks will open and give you a chance to login (if you haven't already done so), and will automatically add this record to your "Last Imported" folder in RefWorks.

Exporting Multiple References from ALICE

Follow these instructions if you wish to import a number of ALICE records into RefWorks at one time.

  1. From the Search Results list check the box next to each of the records you wish to import to RefWorks. Or, click on "Save this Record" if viewing full records.
  2. Be sure to click on the Save Marked Records button before you move to another page. You can also click on the Save All on Page button.

After you click on either Save button, the next screen (below) will not show the records you checked anymore.

  1. Click on the Export Saved List button.

  1. On the Export Saved List screen, be sure that Full Display is clicked. (It is normally the default.) Do NOT choose End-Note/RefWorks; this will not work properly.
  2. Click on Local Disk.
  3. Click Submit.

  1. In the File Download window, click Save. There will be slight variations in the appearance of this screen, depending on what browser and operating system you are using. Save your text to an appropriate location on your computer, removable storage device, or network storage. Note that access to the computer's desktop may not be available in campus computer labs.

The exporting part of the process is now complete. Now you will need to import your data into RefWorks.

Importing References into RefWorks

Go to RefWorks at www.refworks.com. At the RefWorks login page:

  1. Enter your login name
  2. Enter your password
  3. Click Login

If you need to create a new account for RefWorks, click on the link immediately above the space for you login name. See also our separate instructions on RefWorks accounts.

Please note: Ignore the link that says "Athens Users"; it has nothing whatsoever to do with Ohio University!

  1. At the Getting Started page, click References in the top menu.
  2. Then click Import in the dropdown menu.

On the RefWorks Import page:

  1. From the Import Filter/Data Source dropdown box, select Ohio University.
  2. From the Database dropdown box, select ALICE.
  3. Click the Browse button adjacent to the Import Data from the following Text File box.

In the Choose File window:

  1. Click on the export.txt file.
  2. Click on the Open button.

Back at the Refworks Import page:

  1. Note that the path and export.txt filename appear in the Import Data textbox.
  2. Click the Import button at the bottom of the page.

The Refworks Import page will open.

  1. Refworks will show an Import completed message when it is finished.
  2. Click on View Last Imported Folder to see the references you've just imported.

  1. Refworks will display the references in the Last Imported Folder window.
  2. For information about searching and sorting your citations, or about creating and organizing folders, click on the Help link.
